Signed *Permission and Release Forms from all on camera persons *and
participants is v-e-r-y desirable. Advance notice of intent to record and
defining in measurable terms what areas the cameras will be recording, if
plan is to live stream to web or record session then edit content is
desirable. Some organization insert into their membership application a
statement that is like or similar to the following:

"I acknowledge that program meetings and activities may be recorded for
public distribution. As a condition of membership I give my permission for
my image and sounds to be recorded and used to inform the public and promote
the organization and it's goals."


*The topic is complex so I offer some beginning talking points:*

You are likely discovering that not everyone wishes their image to be
recorded and publicly distributed. I have worked with that problem over the
years. Sometimes there can be an agreement between the parties participating
that achieves common acceptance of the production processes. Streaming live
video or edited video (and audio) coverage of the event and processes for
distributing and showing the work and processes to control who may view and
hear the end product are choices based on participants acceptance to
recording the event.

Contracts or *letters of agreement* or emails of agreement between the
recording technician(s) and the on camera persons is highly desirable. I
suggest including some or all of the following:

   1. Provide and overview of why it is desired to record the session
   2. Describe the technology to be used and it's placement
   3. Describe the intended distribution methods and target audience
   4. If possible reference other organization who record and present "live
   to record" meetings to the public via the internet or other media
   distribution.

*Some Simple Production Concepts:*

   - Audio recording of panels and audience interaction generally goes well.
   - Setting cameras up to record the presenters with good audio pick ups or
   recorders to capture panel and group interaction can work well on the
   recording technical level
   - Fear of recorded images, words or sounds later being used against
   speakers can be a concern
   - If the presenters can do their presentation with out favoring,
   promoting or besmirching individuals or products and they agree to allow
   their portion of the program to be recorded and publicly distributed . . .
   - POST PRODUCTION
      1. then comments from the audience can be summarized or abstracted and
      read by one or more "actors" to present the thought or concepts
presented in
      the original audience participation.
      2. Using this method takes more time, but allows for cleaned and
      organized content based on original audience input.

If Post production concepts 1 and 2 are used then a viewing of the completed
work could be shown to concerned/interested participants at a meeting for
that purpose. The goals are to hear expressions of further concerns,
satisfaction, suggestions and to create a deserved sense of trust within the
user community.

Most of my recording work today uses inexpensive to low priced multiple HD
video camcorders and high quality and audio recorders for stereo recording.
Currently I use iMovie and also Final Cut Studio 3 for editing and special
effects. I am rebuilding my old Linux system to gain hands on experience
with Open Source GPL non linear editing. It is possible to edit on a Linux
box. ;-)

Another process to provide information to the public is for the on camera
persons to provide in writing their permission to be recorded and allow
release the edited work to be distributed to the public using multi media
formates and include web distribution.

The overal goals and facts may include . . .

   1. Do no harm
   2. Promote the work and organization in a positive light
   3. Record demonstration outside of the meeting venue with a "friendly"
   audience or group of presenters - it is easier to recorded close ups and to
   do retakes to create smooth flowing accurate information without an
   audience.
   4. Editing after the event is shot allows one to "clean up the content,"
   polish presentation, check and correct errors

The process should have low or no stress. Above all . . . have fun doing it.
